Office Manager


SUMMARY: Manages the office in a fiscally responsible manner that maximizes patient care and promotes patient and staff satisfaction while utilizing a team-based model.

Location: Maynardville, TN

RESPONSIBILITIES Include the following:

  • Maintains a positive work environment while managing the delivery of health services
  • Ensures the balance between quality of care, access to care and CHS productivity goals. 
  • Responsible for organizing and maintaining operationally and fiscally sound office procedures. 
  • Maximizes office productivity through strong management skills, proficient use of appropriate healthcare software, and recruiting and retaining an effective and well-trained team.
  • Maintains patient confidentiality in accordance with established HIPAA laws and procedures.
  • Ensures that office procedures are compliant with state regulatory agencies, contracts, licensure, and applicable laws.
  • Communicates progress of goals to staff and management on an ongoing basis. Provides information, reports, and feedback to staff.  Prepares monthly reports for management as requested.
  •  Utilizes “best practices” to improve timely and efficient patient care.
  • Coordinates with Regional Management in the development of an office budget, management of provider/office productivity goals, cost reduction and revenue producing programs.
  • Adheres to CHS organizational policies and procedures and applies these practice standards to office operations, i.e. billing/accounts payable/accounts receivable, human resources, etc.
  • Participates in Quality Improvement (QI), Quality Assurance (QA) and Continuous Quality Improvement Activities (CQI) as appropriate.
  • Other duties as assigned.

 • Report to work on time and as scheduled. Consistent and regular attendance is an essential function of this position.
 • Wear identification while on duty.
 • Always represent the organization in a positive and professional manner.
 • Comply with all organizational policies and standards regarding ethical business practices.  
 • Participate in performance improvement and continuous quality improvement activities.
 • Attend regular staff meetings and in-services as needed.  


Education/Experience:  High School Diploma. Associates or bachelor’s degree/ four-year college degree or commensurate experience in medical office management preferred. Strongly prefer prior management experience in an outpatient healthcare setting.

 Computer Skills: Demonstrates proficiency with electronic healthcare applications.

 Supervisory Skills:  Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include assisting regional management with personnel matters, interviewing, and training employees; planning, assigning, and directing work; appraising performance; addressing complaints and resolving problems. 

 Fiscal/Business Management Skills:  Demonstrates proficiency in budgeting, billing, coding, and collections.  Maximizes revenue while controlling costs effectively.

Leadership and Self-Development:  Demonstrates continuing personal and professional development to improve leadership and management skills.
