Patient Services Representative (Knoxville, Lenoir City, Seymour)

SUMMARY

Provides support with the daily activities of a medical office in order to provide the best in patient care.  This will include filing, telephone coverage, appointment scheduling, registration, and patient referrals by utilizing a team based model.

RESPONSIBILITIES

  1. Primary responsibility is to assist patients in accessing care.
  2. Greets patients in a friendly, courteous and professional manner.
  3. Checks in patients utilizing practice management (EPM) system, ensuring we follow thru and complete autoflow process and all prompts within
    1. Update all patient demographics including address, phone and contact information including required UDS demographics and update Primary Care Provider assignment if applicable.
    2. Obtains insurance card and ensures scanned into EPM, verifies insurance eligibility utilizing RTS or other available forms of insurance verification.   Identify copay/deductible and updates required feeds in the appropriate are of EPM.
    3. Verifies income to check for qualification of the sliding fee discount, BHSN and other financial programs and provide assistance for enrollment.  Primary Care Provider assignment; co-pays/deductibles and enters this information into the computer.
    4. Collects copay and/or payment towards patient balance and apply towards patient account
    5. Answers patients’ questions regarding statements and insurance coverage.
    6. Assess and identify patient’s need to be enrolled in Patient Portal and provide support and assistance to enroll
    7. Assists with completion of new patient paperwork and any other required paperwork for specific visit
  4. Answers phones and assess and triage patient needs and direct appropriately utilizing tasking thru E HR when appropriate
  5. Performs scheduling and/or rescheduling of appointments as needed
  6. Checks out patients utilizing practice management (EPM) system, ensuring we follow thru and complete autoflow process and all prompts within
    1. Schedule appropriate follow up appointments or entering within our Recall system
    2. Generate School/Work or excuses, electronically faxing when appropriate.
    3. Collects copay and/or payment towards patient balance and apply towards patient account
  7. Scan all incoming paper documents into patient chart, filing in the appropriate document type/category and correct patient chart
  8. Work Site Fax Folder per site guidance in correlation with nursing team, importing patient correspondence/reports into E MR filing in the appropriate document type/category and correct patient chart.  Sending to correct provider PAQ for those documents which require provider review/sign off
  9. Reconcile daily cash reports.  Prepares bank deposits as well as distribute daily mail as assigned.
  10. Advise patients of pertinent clinic programs for which they apply.
  11. Provides patients information regarding social service agencies.
  12. Requests and releases confidential information according to established guidelines on confidentiality.
  13. Cross-trained in all aspects of the Patient Service Representative role to substitute if necessary.
  14. Other duties as assigned.

QUALIFICATIONS

Education/Experience:

High School Diploma or equivalent preferred, one-year certificate from college or technical training program for medical office procedures preferred; or three to six months related experience and/or training; or equivalent combination of education and experience

Knowledge, Skills, Abilities:

Ability to communicate verbally and non-verbally with patients, coworkers and members of management. Excellent professional customer service skills are required. Knowledge of Word Processing software and Electronic Medical Records software. Knowledge of common policies and procedures needed to perform the job, including all office functions.
